WEST ISLAND COMMUNITY SHARES is a unique non-profit organization dedicated to ensuring help, hope and comfort are found close to home for 65 000 West Islanders in need. We raise crucial funds all year long to meet a broad range of community needs, be it cancer, autism, at-risk youth, hunger, mental health, and bullying. We provide vital financial support to 40 local community groups that have a profound impact in the lives of our fellow citizens.
Reporting to the Executive Director: This dynamic position will be responsible for providing support in the strategic planning, development and execution of fundraising event projects. This role will take charge of several fundraising event dossiers during the year and will be responsible for the management of all budgets, logistics, partner relations, event volunteer management, marketing and other event related tasks. The Fundraising Event Lead will assist in the development of new community events to build new partnerships and increase the visibility of the organization.
Participate in strategic planning sessions regarding Fundraising Events
Independently manage and lead fundraising event dossiers
Participate in event committee meetings and ensure constant communication and follow up with stakeholders
Participate in the selection of volunteers for events: recruitment, scheduling, training, on-site management and post-event review
Prepare financial forecasts and maintain updated budget information for each event
Provide administrative support for events: updating event master files, creating online payment links, invoicing and A/R management, and Donor Perfect reports
Maintain current information in event files for: business contacts, donors, vendors, volunteers, sponsors and guests
Take care of event logistics: researching suppliers, manage silent auction and raffles, in-kind donations, guest lists, sponsor visibility packages
Work with graphic designer and communications manager to develop promotional materials
Help with post-event evaluation and related tasks
Provide support for all other events as needed
Education & Experience
A University Degree in a related field, event planning, management certificate, or pertinent experience in fundraising and events
5 years’ experience in fundraising, project management, or event planning
Required Skills We are a small organization and are looking for an individual who is extremely flexible and can work on a wide range of projects.
Proven experience in event management or fundraising
Excellent written and verbal communication skills in English and French
Excellent interpersonal, time management, problem solving and organizational skills
Strong computer skills (MS Office)
Candidate must be dynamic, work towards meeting deadlines, creative, and a team player
Strong team player and ability to work harmoniously with internal team and external stakeholders
As a fundraising organization, we are value-driven and the ideal candidate will hold values of community engagement and corporate social responsibility while being able to defend the needs and requirements of the organization to potential donors
Special note : This position is a 16 to 18-month maternity leave replacement starting in early April 2019. Although this is a full-time position, we are opened to looking into a 4-day week, as long as it doesn’t interfere with the success of the events.
